Administrative Assistant – Legal

The Administrative Assistant – Legal is responsible for providing administrative legal support with various tasks, including basic legal research, locating defendants as requested, providing support with a variety of legal cases and tax sales, assisting with drafts and pleadings in tandem with support staff, tracking status of cases, handling publications, creating and processing bills and purchase orders, organizing files and other standard administrative tasks as assigned.

ADMINISTRATIVE ASSISTANT – LEGAL RESPONSIBILITIES:
• Drafts, merges, and files legal documents as instructed by legal team
• Provides support for dismissing cases and mailing judicial and non-judicial actions
• Applies for tax deeds as requested
• Follows up on local service
• Files returned mail
• Filing historical legal files
• Orders and tracks title orders
• Provides support with incoming deed tracking and recording
• Assists with review of titles for new purchases as requested by legal lead
• Processes publications and provides publication support
• Creates and processes bills and purchase orders
• Provides case management support to paralegal/legal assistant and in-house counsel as needed
• Provides legal research as directed for upcoming tax sales, processing and assisting in redemption work
• Updates entity information as needed
• Assists with project-based work as directed
• Copies, scans and prints documents as directed
• Assists Director on administrative tasks, projects, and scheduling
• Other support duties as assigned

EDUCATION, EXPERIENCE AND OTHER QUALIFICATIONS:
• High School diploma or equivalency required; Associate degree in business is a plus
• Preferred minimum of one year of experience in a legal setting; real estate and/or legal experience beneficial
• Highly organized and able to learn quickly and efficiently
• Strong attention to detail with a high level of accuracy required
• Must possess solid written and verbal communication skills
• Ability to research, resolve and complete tasks within pre-determined deadlines and schedules
• Approach challenges as opportunities with a positive, “can-do” attitude
• Able to research, resolve and complete tasks quickly and accurately – dealing with interruptions, changing timelines and priorities on a regular basis
• Self-starter with strong time management skills coupled with the ability to multi-task in a fast-paced environment required
• Must have the ability to communicate effectively with all levels of company personnel and county officials
• Willing to embrace technology to promote efficient operations
• Comfortable using software programs to process data and interpret results through critical thinking skills
• Strong command of Microsoft Office Suite including Outlook and Word programs as well as ability to learn and effectively operate computer and associated software programs – including but not limited to NetSuite, SharePoint, TrackVia
